Tales at the Threshold is committed to creating an enjoyable, inclusive, and safe environment for everyone attending our tabletop role-playing retreats and related events.
This page outlines our approach to health, safety, and accessibility, and explains the responsibilities of both organisers and guests. Nothing in this policy limits or excludes our legal duties under UK health and safety law or your statutory consumer rights.
1. General Safety Commitment
We follow all reasonable health and safety practices required by law and by our venues, including:
Conducting pre-event safety checks and risk assessments.
Ensuring first aid equipment and qualified staff are available.
Maintaining appropriate fire safety procedures and evacuation routes.
Providing clear briefings for guests on arrival about site-specific safety information.
All guests must follow staff or venue instructions in the event of an emergency or safety concern.
2. Personal Responsibility
By booking or attending a Tales at the Threshold event, you acknowledge that:
You participate voluntarily and at your own risk.
You are responsible for your own health, wellbeing, and personal belongings.
You will inform staff before or during the event of any medical, dietary, or accessibility needs relevant to your safety and comfort.
You agree to act responsibly, avoiding behaviour that could endanger yourself or others.
We accept no liability for injury, loss, or damage except where caused by our proven negligence.
3. Medical & Dietary Information
To keep everyone safe, we ask guests to disclose relevant medical or dietary information in confidence when booking, such as:
Allergies or food intolerances,
Accessibility needs (e.g. mobility, visual, or sensory support),
Chronic conditions, medication needs, or mental health considerations,
Emergency contacts or special care instructions.
All such data is handled according to our Privacy Policy and only shared with staff who require it for safety or catering purposes.
Please bring any necessary medication, mobility aids, or personal care items — staff are not permitted to administer medication.
4. Physical Activities & Environment
While primarily tabletop-focused, our events may include optional physical or outdoor activities such as:
Short walks, swimming (if a pool is available), or light outdoor gatherings,
LARP-style sessions or group games,
Themed challenges or movement-based workshops.
Participation in such activities is voluntary. Guests should ensure they are fit and able to take part, and notify a staff member of any concerns. We select venues with reasonable care but are not responsible for the acts or omissions of independent venue operators except where under our direct control.
If you are unsure about your ability to participate safely, please speak to the Event Director or Dungeon Master before joining the activity.
5. Accessibility Statement
Tales at the Threshold is committed to making our events accessible to as many people as possible.
We aim to:
Select venues with step-free access to primary spaces wherever feasible.
Provide clear information about venue accessibility (stairs, lifts, bathrooms, etc.) in advance.
Accommodate dietary, sensory, and mobility needs wherever reasonably possible.
Offer quiet or low-stimulation spaces for guests who need them.
Provide accessible communication formats on request (e.g. digital copies of guides or handouts).
Please contact us before booking if you require particular adjustments — we’ll always do our best to support you.
6. COVID-19 and Infectious Illness
We follow any current UK public health guidelines and venue policies regarding illness prevention.
If you experience symptoms of a contagious illness before or during the event, please inform us immediately.
We may ask guests showing symptoms of contagious illness to isolate or leave the retreat to protect others. Refunds or transfers will be handled under our Refund & Cancellation Policy.7. Alcohol & Substance Use
Responsible alcohol consumption is permitted in designated areas.
Excessive intoxication, disruptive behaviour, or unsafe conduct will result in removal from activities or the event without refund.
Illegal substances are strictly prohibited.8. Swimming Pool and Outdoor Areas
If your retreat venue includes a swimming pool or outdoor space:
Swimming is unsupervised and entirely at your own risk.
Guests must comply with any posted pool or area rules.
No swimming under the influence of alcohol or drugs.
Children (if permitted at any event) must be supervised at all times by a parent or guardian.
9. Emergencies & First Aid
If you notice an accident, hazard, or medical emergency:
Alert a staff member immediately.
Follow any instructions from venue staff, first aiders, or emergency services.
Do not enter restricted or hazardous areas unless directed to do so by staff.
We maintain first aid supplies and ensure at least one designated first aider is available on site.
10. Liability
We take every reasonable precaution to ensure a safe experience.
However, by attending, you acknowledge that we cannot eliminate all risks associated with travel, communal events, or personal activity.Tales at the Threshold and its staff shall not be liable for:
Accidents, injuries, illness, or loss of property except where directly caused by our negligence, fraud, or any liability which cannot be excluded by law.
Delay or failure to perform our obligations due to events beyond our reasonable control (e.g. weather, travel disruption, force majeure events);
Actions taken in good faith to protect the safety and wellbeing of all participants.

Tales at the Threshold events are designed to be safe, welcoming spaces where players, Dungeon Masters, and staff can share creativity, laughter, and adventure. To keep our retreats enjoyable for everyone, all attendees — including guests, staff, and volunteers — must follow this Code of Conduct.
1. Core Principles
Our guiding values are:
Respect – for people, their boundaries, and their identities.
Safety – physical, emotional, and psychological safety comes before gameplay.
Inclusion – everyone deserves to feel welcome regardless of background or experience.
Collaboration – storytelling is a shared act of imagination and trust.
By booking or attending a Tales at the Threshold event, you agree to uphold these principles.
2. Expected Behaviour
We ask all participants to:
Treat everyone with courtesy, kindness, and respect — in and out of character.
Use consent-based play: check in before touching, confronting, or involving another player’s character in sensitive themes.
Follow the instructions of event staff and Dungeon Masters.
Respect personal and communal spaces (rooms, tables, pools, shared areas).
Refrain from excessive intoxication or disruptive behaviour.
Keep all in-character conflict strictly within the boundaries of the game.
Report concerns immediately to staff or facilitators.
3. Unacceptable Behaviour
We have zero tolerance for:
Harassment, bullying, discrimination, or intimidation of any kind.
Unwanted physical contact or sexual attention.
Hate speech, racist, sexist, homophobic, transphobic, or ableist language.
Threatening, aggressive, or intentionally disruptive behaviour.
Filming or photographing others without consent (see Photography Policy).
Tampering with venue property or equipment.
Bringing weapons (including realistic props) without prior authorisation.
Using illegal substances or violating local laws.
4. Alcohol & Substances
Moderate, responsible alcohol consumption is permitted in designated areas. Drunkenness that causes disruption, safety risk, or harassment will result in removal without refund. Illegal drugs are strictly prohibited at all times.
5. Health & Safety
Inform staff of any medical or accessibility needs before the event.
Follow all venue safety notices and fire procedures.
Respect swimming pool and outdoor area rules.
Do not enter staff-only or restricted areas.
Report accidents, hazards, or injuries immediately to a member of staff.
6. Respecting Boundaries in Roleplay
Scenes involving violence, romance, trauma, or fear should use a check-in system (e.g. “pause” or “X-card”) to ensure all participants are comfortable.
Dungeon Masters may redirect or end scenes that cross boundaries.
Players must respect “No” or “Pause” signals immediately.
Roleplay consent is an ongoing agreement, not a one-time permission.
7. Property & Belongings
Guests are responsible for their own possessions. Tales at the Threshold and the venue are not liable for lost or stolen property unless caused by our negligence.
Please treat the venue and its surroundings with care — damage caused by negligence or misconduct may incur repair or replacement charges.
8. Photography & Media
Official event photographers may capture photos or video during the retreat for documentation and promotion. If you prefer not to appear in media, please opt out during check-in. We will make every effort to respect your preference.
Attendees may take personal photos but should always seek consent before photographing others.
9. Reporting Concerns
If you witness or experience behaviour that violates this Code:
Contact any member of staff, DM, or the Event Director immediately.
We will handle all reports discreetly, respectfully, and in confidence.
Serious incidents may be escalated to venue security or local authorities if necessary.
You can also email [phil@talesthreshold.co.uk] after the event to report issues.
10. Consequences of Misconduct
Depending on severity, consequences may include:
Verbal or written warning.
Removal from a specific session or activity.
Removal from the event without refund.
Ban from future Tales at the Threshold events.
Notification to local authorities for criminal conduct.
Our decision on disciplinary matters is final.
11. Staff Responsibilities
All staff and Dungeon Masters are briefed on this Code of Conduct and must:
Model respectful and inclusive behaviour.
Intervene promptly and safely if misconduct occurs.
Support guests who experience or report concerns.
Maintain confidentiality in handling sensitive reports.
12. Inclusion & Accessibility
Tales at the Threshold welcomes guests of all identities and backgrounds.

Respecting pronouns and chosen names.
Reasonable accommodations for disabilities and neurodivergence.
A harassment-free environment for everyone.
13. Agreement
By booking or attending any Tales at the Threshold event, you acknowledge that you have read, understood, and agreed to this Code of Conduct.
Failure to comply may result in disciplinary action, including removal from the event without refund. -

User-generated content: feedback forms, testimonials, photos you submit or allow us to use.

Payment providers (e.g., Stripe/PayPal) send us confirmations and fraud-prevention signals.

When you first visit our site, you’ll see a cookie banner. You can Accept, Reject, or Manage settings. We only set non-essential (e.g., analytics/ads) cookies with your consent; essential cookies run the site (e.g., security, session). 6) Sharing your data
We share personal data with trusted processors who act on our instructions:

Website & IT: hosting, security, backup, CRM, email service ([e.g., Mailchimp/ConvertKit]), form tools.
Event delivery: venue operators, caterers (dietary lists), contracted DMs/staff/photographers under confidentiality.
Analytics/consent tools: analytics providers (for consented users only) and our Cookie Consent Management Platform.
Where required by law (e.g., a court or regulator), we may disclose data. We do not sell your personal data.
7) International transfers
Some providers may process data outside the UK. Where this occurs, we use safeguards such as UK Addendum to the EU Standard Contractual Clauses or other adequacy mechanisms. Details are available on request.
8) How long we keep your data (retention)
We keep data only as long as needed for the purpose collected, including to meet legal, accounting, or reporting requirements:
Bookings/transactions: 6 years from the end of the financial year (tax/audit).
Routine enquiries: 24 months from last contact.
Marketing: until you withdraw consent or after 24 months of inactivity.
Health/dietary info for an event: deleted within 30 days after the event unless an incident requires longer retention.

9) Security
We use administrative, technical, and physical controls appropriate to the sensitivity of the data, including access controls, encryption in transit, and staff/contractor confidentiality. No system is 100% secure; we have incident response processes in place.
10) Your rights
You have the following rights under UK GDPR:
Access to your data and copies of it.
Rectification of inaccurate or incomplete data.
Erasure (“right to be forgotten”) in certain cases.
Restriction of processing in certain cases.
Data portability (where legally applicable).

12) Photography at events
We may photograph or film at events for documentation and promotional purposes. Opt-out: tell a member of staff on arrival, wear an opt-out lanyard if provided, or email [privacy@…] in advance. We’ll take reasonable steps to avoid/blur you in published media. Where feasible, we also rely on consent for identifiable close-ups.
13) Third-party links
Our site may link to third-party websites or services we don’t control. Their privacy practices apply to your use of those services.
14) Changes to this notice
We may update this policy from time to time. Material changes will be highlighted on this page and/or emailed if appropriate. The “Last updated” date shows when this notice was revised.

At Tales at the Threshold, we work hard to plan unforgettable retreat experiences. Because our events involve advance venue bookings, catering, staffing, and materials, clear refund and cancellation terms are essential.
This policy explains how cancellations, refunds, and event changes are handled for all bookings. For the avoidance of doubt, nothing in this policy affects your statutory rights under UK consumer law.
1. Cancellations by You
If you wish to cancel your booking, please email info@talesthreshold.co.uk as soon as possible.
The amount we can refund depends on how far in advance you cancel.More than 90 days before the Event:
Full refund
Minus any non-refundable deposit
Between 30 and 90 days before the Event:
25% refund of total booking price
Minus any non-refundable deposit
29 days or fewer before the Event:
No refund (unless your place is resold – see below)
Re-sale of your placeIf we can fill your cancelled spot from the waiting list, we may offer a partial or full refund at our discretion (minus any admin fees or non-recoverable costs).
Transfers
You may request to transfer your booking to another person. This must be arranged at least 14 days before the event, and the replacement guest must agree to all relevant Terms, Code of Conduct, and policies.
Transfers to future events are possible on a case-by-case basis, depending on availability.
Deposits
Some bookings include a non-refundable deposit to secure your place. This deposit covers upfront planning costs (venue, staff, materials) and will not be refunded under any circumstance, except if the event is cancelled by us. Any non-refundable deposit reflects our genuine pre-booking costs (such as venue deposits, staff scheduling, and materials) and is not a penalty.
2. Cancellations or Changes by Us
We aim never to cancel or substantially change an event, but occasionally unforeseen circumstances may require it (for example: venue issues, staff illness, transport disruption, or force majeure events).
If we must cancel:
You will receive a full refund of all monies paid, or
You may choose to transfer your payment to another event or retreat of equal value.
If we must reschedule:
We’ll inform you as soon as possible.
If the new date does not suit you, you may request a full refund within 14 days of being notified.
We are not responsible for additional costs you incur (such as travel arrangements, flights, or annual leave) — we strongly recommend obtaining travel insurance. We are not responsible for indirect, consequential, or incidental losses (such as loss of enjoyment, accommodation outside the event, or missed travel connections).
3. Partial Attendance & Early Departures
If you arrive late, leave early, or are removed for breaching our Code of Conduct, no refund or credit will be given for unused time, meals, or sessions.
4. Travel, Insurance & Force Majeure
We recommend all guests obtain appropriate travel insurance that covers:
Event cancellations or rescheduling,
Illness or injury before or during the retreat,
Personal belongings, and
Travel disruption or force majeure (e.g. strikes, natural disasters, severe weather).
We are not liable for any failure or delay in performance due to events beyond our reasonable control (‘force majeure’), including but not limited to natural disasters, war, strikes, government restrictions, or public health emergencies.
5. Illness, Medical, and COVID-19 Policy
If you test positive for COVID-19 or another contagious illness close to the event, contact us immediately.
Where possible we’ll offer:Transfer of your place to another person or future event, or
Partial refund if we can resell your place.
We may ask anyone displaying infectious symptoms to leave the retreat to protect other guests.
If the event is postponed due to public-health restrictions, we’ll provide the option of a full refund or future credit.
6. Refund Method & Timing
Approved refunds will be processed within 14 days of confirmation using the same payment method you used to book. Bank processing times may vary. Refunds will appear from Tales at the Threshold Ltd or our payment processor (e.g. Stripe / PayPal).
7. Non-Attendance
Failure to attend the event without prior notice (“no-show”) results in no refund or credit.

9. Jurisdiction
These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the English courts.

Please read these Terms & Conditions (“Terms”) carefully before booking or using our services. By booking, attending or otherwise interacting with our website or services, you agree to be bound by these Terms.1. Who we are

These Terms govern your booking, attendance, and use of our website and related services.2. Services
We organise tabletop-role-playing retreat events, including venue accommodation, meals, gaming sessions, social activities, and related services (collectively the “Services”) in the UK as advertised on our website.
Your booking is for the Services described at the time of booking, subject to availability and these Terms.3. Booking, payment & confirmation
3.1 All bookings must be made through our website [or via authorised agent]. You must provide accurate, current and complete information, including names of participants, contact details, dietary/medical information, etc.
3.2 A deposit payment as outlined on the event is required at the time of booking to secure your place. The balance becomes payable by the date indicated on the event.
3.3 Payment is processed via our payment provider eg. Stripe, PayPal, etc. We do not store your full card details.
3.4 On receipt of payment and submitted information we will issue a Booking Confirmation email, which sets out the details of your booking. This constitutes our acceptance of your booking and a contract between us.4. Cancellation, refunds & transfers
4.1 You may cancel your booking up to 90 days before the start of the event to receive a full refund of payments made (less any non-refundable deposit).
4.2 If you cancel between 14 days and 90 days before the event, you will receive a 25% refund (or credit for future event).
4.3 Cancellations made less than 14 days before the event are non-refundable, unless we re-sell your place, in which case we may offer a partial refund or credit at our discretion.
4.4 If we cancel the event (for example due to venue failure, force majeure, insufficient bookings), we will offer you either: (a) a full refund of all monies paid; or (b) a credit toward a future event of equivalent value, at your choice.
4.5 Transfers: In certain circumstances you may request to transfer your booking to another person or another event, subject to our approval in writing and payment of any difference in cost or administration fee.5. Your responsibilities
5.1 You must disclose, at time of booking, any relevant medical conditions, accessibility needs, dietary restrictions, allergies or other matters that could affect your safe participation in the event.
5.2 You are responsible for obtaining any necessary travel insurance, health insurance, visas, vaccinations or other travel/participation needs for the event location.
5.3 You agree to behave in a respectful, courteous and safe manner at the event: comply with venue rules, follow instructions of our staff, respect fellow participants, and behave in a way that does not endanger yourself or others. We reserve the right to ask you to leave the event without refund if your behaviour is disruptive, unsafe or breaches these Terms.
5.4 If you bring personal items or equipment, you do so at your own risk. We accept no responsibility for loss or damage to your personal property unless caused by our negligence.6. Health & Safety
6.1 The event may involve physical or social activities (e.g., walking, role-play, games, social interaction, travel to venue) and may be subject to risks. By booking, you acknowledge these risks and confirm you are fit to participate.
6.2 In the event of a medical or other emergency, you authorise us (or our designated staff) to arrange or permit appropriate medical care. You bear all costs of medical treatment which are your responsibility or insurer’s responsibility.
6.3 We maintain appropriate health & safety procedures, but you understand that we cannot guarantee complete risk elimination.7. Intellectual property
7.1 All materials provided by us – including graphics, text, logos, images, website content, course content, role-playing materials – remain our property or the property of licensors (“our Content”).
7.2 You may view and download one copy of our Content for your personal non-commercial use only. You may not copy, reproduce, republish, distribute, modify, rent, sell, reverse-engineer or exploit our Content without our express prior written consent.
7.3 You grant us a non-exclusive, royalty-free licence to use photographs, video or audio recordings taken at the event in which you appear for our marketing and promotional purposes, unless you have opted out in writing or via our event policy.8. Liability & disclaimers
8.1 To the fullest extent permitted by law, we disclaim all warranties, conditions and other terms implied by statute or common law, including any guarantee of fitness for purpose, accuracy of information or uninterrupted access.
8.2 Our total liability to you under or in connection with these Terms, whether in contract, tort (including negligence), statute or otherwise, shall be limited to the total amount paid by you for the booking.
8.3 We shall not be liable for any indirect, special or consequential loss or damage (such as loss of profit, business, goodwill, data or anticipated savings) arising under or in connection with these Terms.
8.4 Nothing in these Terms shall exclude or limit our liability for death or personal injury caused by our negligence, or for fraud or any other liability which cannot be excluded by law.9. Termination / Suspension by us
